Record a bill or paid expense

Save an expense document with the correct party, dates and amounts.

Before you begin

  • Sign in to Eva and select the intended project.
  • Use fictional records when practising; changes affect the selected business.

Starting screen: /dashboard/accounting

1. Start an expense

Action: Start an expense. Select the image to enlarge it.

In Eva books open Expenses and New bill. Choose Document type, including Paid expense when appropriate.

Expected result: The expense-document editor displays the chosen type.

Confirm it worked: Use the type matching the real payment state.

2. Enter party and dates

Action: Enter party and dates. Select the image to enlarge it.

Fill Party name, document dates and Reference. Select the relevant party role if creating a party record.

Expected result: The expense identifies the correct counterparty and period.

Confirm it worked: Avoid duplicate party records and check the supplier name.

3. Enter expense lines

Action: Enter expense lines. Select the image to enlarge it.

Fill description, unit price, quantity and tax fields for the purchase.

Expected result: The document shows the calculated expense total.

Confirm it worked: Compare against the supplier record/receipt before saving.

4. Save and issue

Action: Save and issue. Select the image to enlarge it.

Save the draft, review it, then use the type’s issue control, such as Issue expense.

Expected result: The document appears with its issued status and reference.

Confirm it worked: Reload Expenses and verify the intended party, amount and status.

Troubleshooting and alternatives

Bill and paid-expense types represent different payment states. Do not mark a purchase paid just to clear an outstanding balance.

Receipt/OCR proposals must be reviewed before applying any accounting write; do not infer final saved books from a proposed extraction.
